The Quote module must be enabled on your account. Contact support to get access.

The Quote module allows sales representatives to configure a detailed offer β€” products, pricing, discounts, currency, and contract terms β€” and present it to a potential buyer. When the buyer signs, the quote automatically converts into an active subscription.

Quote states

A quote moves through the following states:

  1. Draft: Being prepared by the sales rep

  2. Awaiting approval: Needs internal approval before it can be sent (see Approval workflow below)

  3. Approval approved: A manager has approved it β€” it can now be sent to the client

  4. Approval rejected: A manager has rejected it

  5. Awaiting response: Sent to the client, waiting for their decision

  6. Signed: The client has accepted β€” a subscription is created automatically

  7. Rejected: The client has declined

What a quote contains

  • Products and pricing: One or more items, each referencing a product and a price plan. Quantities and per-item rebates can be set.

  • One-off charges: Ad-hoc fees (e.g. onboarding, implementation) that carry over to the subscription on signing.

  • Contract terms: Start date, contract length, billing interval, renewal interval, and cancellation notice period.

  • Currency: Any configured currency is supported.

Value summary

The quote displays several value summaries β€” each shown before and after rebates:

  • Total value: Sum of all items at estimated quantities

  • Committed value: Guaranteed minimum revenue (fixed fees + committed metered items)

  • Usage-based value: Estimated value of variable usage items

  • One-off total: Sum of all one-time charges

  • ARR: Annualised recurring revenue of the quote

Quote timeline

The timeline view shows a chronological projection of billing events from the contract start date: commencement date, recurring invoice dates, rebate expiry dates, and contract end date. This helps both the sales rep and the customer understand exactly when charges will occur.

Discounts and rebates

Automatic rebates: Your account can be configured with automatic rebate rules β€” for example, a percentage discount when a quote includes a certain number of products. These are applied automatically as items are added.

Manual rebates: Sales reps can apply additional percentage discounts to individual items. If manual rebates exceed the configured maximum allowed discount, the quote automatically enters the Awaiting Approval state.

Approval workflow

A quote requires approval when:

  • A sales rep applies manual rebates above the configured maximum

  • The quote matches one or more approval rules (configured for specific contract terms or billing practices)

Only designated rebate managers can approve or reject. Each manager has a limit defining the maximum total rebate they can approve. Once approved, the quote can be sent to the client.

First invoice installments

For large upfront charges, the first invoice can be split into two installments:

  • A percentage paid on contract signature (e.g. 50%)

  • The remainder paid on the subscription go-live date

Subsequent invoices follow normal billing cycles.

HubSpot integration

Quotes can also be created and managed entirely within Plock, without any HubSpot connection. In that case, the sales rep builds the quote directly in Plock, sends it to the client, and marks it as signed manually when the contract is agreed.

When HubSpot is connected, the quote journey starts there instead. From a deal, the sales rep triggers the creation of a Plock quote directly β€” no need to switch tools. Once created, the quote and deal stay in sync:

  • The deal's value and line items are automatically updated in HubSpot as the quote changes

  • When the deal stage moves to Contract Sent, the quote state automatically updates to Awaiting Response

  • The contract is sent and signed via HubSpot's connected signing tool

  • When the deal is marked as Closed Won, the signed quote is automatically converted into an active subscription in Plock β€” no manual action needed

From quote to subscription

When a quote is signed, Plock creates a subscription with:

  • Start date and billing interval taken from the quote

  • All products, plans, and rebates carried over

  • One-off charges transferred to the subscription

  • A permanent link between the quote and the resulting subscription for historical tracking
